Since 1929 Hallie Q. Brown Community Center has provided critical services and a gathering place for residents of the Summit-University neighborhood. The Center hosts an early childhood education program, programs for senior citizens, a food shelf, a clothing closet, and is the home of the world-renowned Penumbra Theater. We are currently recruiting for an Executive Coordinator to coordinate the day-to-day affairs of the office and management team. Key responsibilities include executive support, office administration, customer relations, calendar management and project support.
Specific responsibilities
- Coordination of day-to-day office operations (opening office, reception, ordering supplies, greeting visitors)
- Manage daily workflow of Executive Director, including scheduling appointments, managing calendar and schedule, prepare for department and group meetings, expense reports, files, preparation of correspondence, reports and charts.
- Acts as a liaison between general public, partners, organizations and other key constituents and the management team
- Assists with the building calendar and room rentals
- Assists with meeting and events logistics
- Coordinate social media efforts (Facebook, Instagram, etc.) Take photos and publicize on social media
- Support production of external communications, acknowledgments, mailings and other correspondence
- Some cash handling and basic account support
- Project management from start to finish for a variety of events and marketing initiatives

Decision-making ability, time management and attention to detail are equally important. This position calls for excellent interpersonal and communication skills, experience working with complex calendars and supporting multiple groups.
Position Requirements
- Bachelors’ degree with 3 – 5 years administrative experience, or equivalent combination of education and experience
- Ability to deal with confidential information
- Excellent computer skills and verbal and written communication skills
- Proven ability to manage and prioritize calendars and e-mails
- Excellent customer service skills
- Excellent organizational skills with strong attention to detail
- Ability to relate to people from diverse socio-economic and cultural backgrounds
- Ability to regularly work beyond a 40-hour week
- Occasional weekend and evenings required for special events
Salary: $40,000 - $45,000 DOQ
